Abstract
The problem of meeting scheduling in distributed organizational environments has traditionally been approached from optimization and constraint-satisfaction perspectives, treating calendars as passive repositories of temporal availability. In this paper, we propose a fundamentally different paradigm: we model individual calendars as autonomous adversarial agents whose optimization functions may conflict with the collective objectives of meeting participants. We formalize the Meeting Scheduling Game (MSG) as a non-cooperative game in which each calendar agent seeks to maximize its host's perceived productivity while minimizing perceived interruption costs. We derive Nash equilibria for various configurations of meeting requests and calendar complexities, including the challenging case of "impossible meeting" scenarios wherein no Pareto-optimal solution exists. Our framework provides actionable insights for meeting organizers operating under adversarial calendrical conditions, including strategies for calendar manipulation, meeting request timing, and the deployment of synthetic availability signals. We conclude with a discussion of limitations and promising directions for future research, including the extension of our framework to multi-timezone environments and integration with machine learning-based calendar assistants.
Introduction
The coordination of meetings across multiple participants represents one of the fundamental challenges in modern organizational life. What appears superficially to be a straightforward scheduling problem—in which availability must be identified and a mutually convenient time selected—reveals upon closer examination to be a complex socio-technical phenomenon involving competing priorities, imperfect information, and strategic behavior. The traditional approach to meeting scheduling, as implemented in common calendar software, treats the problem as one of constraint satisfaction: given a set of participants and their respective availability constraints, find a time slot that satisfies all parties. This approach, while computationally tractable, makes a critical simplifying assumption that we contend is fundamentally at odds with observed organizational behavior: it assumes that calendars accurately and completely represent the true availability and preferences of their hosts.
In practice, calendars are known to be noisy, incomplete, and strategically manipulated representations of temporal availability. A participant may block off time for "deep work" not because such work is genuinely scheduled, but because they wish to signal unavailability for meetings.In this paper, we propose an alternative framework that treats meeting scheduling not as a constraint satisfaction problem but as a strategic interaction among multiple agents, each controlling their own calendar and seeking to maximize their individual utility functions. We term this framework the Meeting Scheduling Game (MSG), and we analyze it using the tools of non-cooperative game theory. Our key insight is that calendars, rather than being passive data structures, can be understood as adversarial agents that may pursue objectives orthogonal to or in direct conflict with the collective goal of productive meeting coordination.
The present work is situated within the broader intellectual tradition of applying game-theoretic analysis to organizational phenomena. Following the seminal contributions of March and Simon (1958) on organizational decision-making, and the subsequent formalization of organizational economics by Williamson (1975), scholars have recognized that formal analysis of strategic behavior can illuminate otherwise opaque aspects of organizational life. Methodology
Our analysis proceeds by formalizing the Meeting Scheduling Game as a non-cooperative game in normal form. We define the game as follows:

Results
We now present our main results characterizing equilibrium behavior in the Meeting Scheduling Game under various conditions.

This finding has important practical implications: it suggests that in sufficiently complex meeting requests, the very notion of a "reasonable" outcome may be ill-defined, and the resulting coordination failure may be an inherent feature of the situation rather than a failure of the scheduling process.
Result 3 (Calendar Manipulation Equilibria): We find that strategic calendar manipulation—defined as the deliberate entry of false or strategically motivated availability constraints—can be an equilibrium strategy under certain conditions.

Discussion
The results presented in this paper have several important implications for the practice of meeting scheduling in organizational settings.
First, our analysis suggests that the conventional wisdom favoring "honest" calendar management may be suboptimal from a game-theoretic perspective. If calendars are treated as adversarial agents, strategic opacity may be a rational response to the strategic behavior of meeting organizers. This finding challenges the design assumptions of contemporary calendar software, which typically assumes that users will accurately represent their availability.
Second, our characterization of conditions under which pure-strategy equilibria fail to exist provides a theoretical explanation for the common experience of "impossible meetings"—scheduling scenarios in which no acceptable time can be found despite the absence of any obvious obstruction. We show that such failures can arise from fundamental conflicts among participant preferences rather than from mere information deficits.
Third, our results suggest that meeting organizers can improve their success rates by strategically timing their requests. By understanding the utility functions of prospective participants (or, more practically, by understanding the organizational roles and incentives that shape those utility functions), organizers can identify time slots that are more likely to constitute equilibrium acceptance outcomes.
There is also the fascinating question of meta-meetings—meetings about meetings—and how our framework extends to higher-order coordination problems. We leave this for future work.Several limitations of the present work merit acknowledgment. Our model treats utility functions as static, whereas in practice they may evolve over time in response to meeting history and organizational changes. Additionally, our analysis assumes that players have complete information about each other's utility functions, which is rarely the case in practice. Relaxing this assumption to incorporate incomplete information and Bayesian updating represents a natural direction for future research.
Conclusion
We have presented a game-theoretic framework for analyzing meeting scheduling as a strategic interaction among adversarial calendar agents. Our analysis reveals that equilibrium behavior in the Meeting Scheduling Game can be complex and sometimes leads to coordination failures that cannot be attributed to any individual participant's strategic manipulation. We hope that this framework will prove useful to both researchers studying organizational coordination and practitioners seeking to improve meeting outcomes in their own contexts.
Future work should extend the model to multi-timezone environments, where the added complexity of temporal offset creates new strategic possibilities. Additionally, empirical validation of our theoretical predictions through controlled experiments or observational studies of actual meeting scheduling behavior would greatly strengthen the practical relevance of our framework.
